How to Use

Build Your Generator Maintenance Schedule

The planner follows a simple principle: service is due when the first threshold—running hours or calendar time—is reached. Use these three steps to generate a schedule tailored to your unit.

STEP 01

Select Your Duty

Choose standby for backup units that sit idle most of the time, or prime for continuous-duty generators that run as the main power source.

STEP 02

Enter Hours & Environment

Provide average running hours per month and site conditions—clean, dusty, humid, or marine. The planner adjusts service intervals accordingly.

STEP 03

Review & Download

Get a complete interval-by-interval plan with tasks, hour or calendar triggers, and next-service dates. Print or share the schedule with your team.

Service Intervals

Diesel Generator Maintenance Schedule

Every diesel generator set follows a predictable service rhythm. Use this table as a quick reference for standard intervals.

Interval Key Service Tasks
Break-in (first 20–50 h) Change oil and oil filter, check all fluid levels, torque fasteners, inspect for leaks
Every 250 h or 6 months Change oil and oil filter, replace fuel filter, inspect air filter, check coolant level
Every 500 h or 12 months Replace air filter, test coolant (pH/SCA), clean battery terminals, load-test battery
Every 1,000 h Flush and replace coolant, check valve clearance, test safety shutdowns, megger alternator windings
Every 2,000 h or 24 months Inspect/test injectors, inspect turbocharger, compression test, replace belts and hoses
6,000–8,000 h Major overhaul—liners, pistons, bearings, crankshaft, cylinder heads, governor
Battery health is the single most common cause of generator start failure. Check voltage weekly, clean terminals monthly, and load-test every six months. Replace batteries every two to three years regardless of apparent condition.
Oil Change

Generator Oil Change Interval: What Affects It

The baseline oil change interval is every 250 running hours or every 6 to 12 months, whichever comes first. But the right answer for your unit depends on how you run it.

Light Load

Under 30% load, intervals shorten to roughly 150–200 hours. Lightly loaded diesels run cool and do not fully burn fuel, causing fuel dilution.

Heavy Load

At 80% or more, intervals shorten to about 200–250 hours due to higher thermal stress on the oil and engine components.

Dusty / Humid / Marine

Harsh environments shorten intervals to around 200 hours because contaminants enter the oil and air faster.

Frequent Starts

Cold starts produce the most engine wear. Frequent start-stop operation shortens oil life and requires more frequent changes.

Synthetic Oil

High-quality synthetic diesel oil may extend intervals to 400–500 hours in clean, consistent operating conditions.

Standby Units

For units that accumulate few hours, change oil at least once a year—oil degrades with time even when the engine is idle.

Always: change the oil filter at the same time as the oil. Use diesel-rated oil (minimum CJ-4, preferably CK-4) in the recommended viscosity—commonly 15W-40—and follow the OEM manual for your specific engine.
Duty Comparison

Prime vs. Standby Generator Maintenance

Understanding the difference between prime and standby power is central to any accurate maintenance plan. Each duty type has distinct service needs.

Prime-Power Generator

A prime-power generator is the main source of electricity at a site without grid access— common in mining, remote construction, and off-grid operations. It accumulates hours quickly, so maintenance follows hour-based intervals closely.

  • Oil, filters, and wear parts consumed predictably
  • Service driven by hour meter readings
  • Continuous load operation requires regular attention
  • Extended runtime accelerates component wear

Standby Generator

A standby generator backs up the grid and starts only during an outage—typical for data centers, hospitals, and commercial buildings. It may log few hours, but seals dry out, fuel degrades, and batteries self-discharge over time.

  • Time-based servicing even at low hours
  • Regular loaded exercise runs required
  • Fuel and coolant degrade with calendar time
  • Battery health is critical
Routine Checks

Generator Maintenance Checklist

Daily, weekly, and monthly routines that keep a generator reliable between major services. The planner expands each item into a dated task for your specific unit.

Daily / Before Start

  • Check engine oil, coolant, and fuel levels
  • Inspect for fuel, oil, and coolant leaks
  • Check battery voltage and charge state
  • Review control panel readings and alarms

Weekly

  • Run generator under ≥30% load for 30 minutes
  • Clean battery terminals; verify charger output
  • Drain water from fuel/water separator
  • Verify block heater and coolant heater operation

Monthly

  • Test automatic transfer switch operation
  • Inspect belts, hoses, and connections for wear
  • Clean radiator fins and check airflow
  • Loaded exercise run at 50–75% load for 1 hour

Annually

  • Full load-bank test at rated load
  • Flush and replace coolant; replace thermostat
  • Test all safety shutdowns
  • Inspect fuel system and injectors
